GDPR NOTICE

We have been taking the protection of your privacy and personal data very seriously for over 30 years and will promise to continue to do this. That’s why we have been working hard to review our procedures and security arrangements to prepare for the new data protection laws. We have trained our staff and updated all of our data protection policies to ensure we uphold your rights now and in the future.

New updated Privacy Policy

Under the general Data protection Regulation (or GDPR as it is more commonly known) we are required, as are all businesses that hold your personal data, to provide you with certain information in relation the lawful grounds for our ongoing processing of your personal data.

In order to fulfil that obligation, we have put together a new privacy notice that clearly sets out how we collect and process your personal data, for what purposes we use your data, the legal grounds of processing such data, how we keep your data secure and your rights in relation to such data.

2. WHAT DATA DO WE COLLECT ABOUT YOU, FOR WHAT PURPOSE AND ON WHAT GROUND WE PROCESS IT

Personal data means any information capable of identifying an individual. It does not include anonymised data.
We may process the following categories of personal data about you:
Communication Data that includes any communication that you send to us whether that be through the contact form on our website, through email, text, social media messaging, social media posting or any other communication that you send us. We process this data for the purposes of communicating with you, for record keeping and for the establishment, pursuance or defence of legal claims. Our lawful ground for this processing is our legitimate interests which in this case are to reply to communications sent to us, to keep records and to establish, pursue or defend legal claims.
Customer Data that includes data relating to any purchases of goods and/or services such as your name, title, billing address, email address, phone number, contact details, child’s name and date of birth, stated medical issues and purchase details and your card details. We process this data to supply the goods and/or services you have purchased and to keep records of such transactions. Our lawful ground for this processing is the performance of a contract between you and us and/or taking steps at your request to enter into such a contract.

Data protection principles
We will comply with data protection law. This says that the personal information we hold about you must be:

1 Used lawfully, fairly and in a transparent way.
2 Collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes.
3 Relevant to the purposes we have told you about and limited only to those purposes.
4 Accurate and kept up to date.
5 Kept only as long as necessary for the purposes we have told you about.
6 Kept securely.

 

What data do we collect?
We collect data through bookings which take place in a number of ways. These are booking system
GoPlayGo, Hoop, telephone, email and our website. Going through the booking process we collect the following data:
Parents name, address, email, telephone, child’s name and date of birth. How they heard about Creative Wiz Kids and does the child have any medical conditions we need to know about.

 

Why do we collect Data?
We collect data for the activities, holiday clubs, Parent Toddler Classes and Birthday Parties we are running. We also need data for any emergencies so that we may contact you.

Sensitive Data

This is the information that you provide concerning your child’s health. While your children are in our care we need to respond in an appropriate way. If this,at any time, changes it is your responsibility to let us know.

Where we are required to collect personal data by law, or under the terms of the contract between us and you do not provide us with that data when requested, we may not be able to perform the contract (for example, to deliver goods or services to you). If you don’t provide us with the requested data, we may have to cancel a product or service you have ordered but if we do, we will notify you at the time.
We will only use your personal data for a purpose it was collected for or a reasonably compatible purpose if necessary.

7. DATA SECURITY
We have put in place security measures to prevent your personal data from being accidentally lost, used, altered, disclosed, or accessed without authorisation. We also allow access to your personal data only to those employees and partners who have a business need to know such data. They will only process your personal data on our instructions and they must keep it confidential.
We have procedures in place to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach if we are legally required to.

Data we receive from third parties, on booking through GoPlayGo and Hoop we receive the following information:
Customer details
Parents first and last name
Address
Telephone
Email
Any medical conditions
How they heard about the activity

We do not share data with any third parties.

 

Data Security
We hold no paper records. We use and keep only electronic data. All our newsletters are password protected and securely protected. We work with mail chimp. Please find a link to their policy here.

Data Retention
We only retain data as long as is necessary to fulfil the purposes for which we have collected it. If after five years we have not actively heard from you we will contact you to ask if you would like to be unsubscribed. If we do not hear from you your records will be securely destroyed.

It is your duty to inform us of any changes so your information is current and accurate.

Your rights in connection with personal information
Under certain circumstances, by law you have the right to:

• Request access to your personal information (commonly known as a “data subject access request”). This enables you to receive a copy of the personal information we hold about you and to check that we are lawfully processing it.

• Request correction of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.

• Request erasure of your personal information. This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing (see below).

• Object to processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes.

• Request the restriction of processing of your personal information. This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.

• Request the transfer of your personal information to another party.
